Location: Bristol HQ

Hours: Part-time (25 hours per week)

Monday to Friday 11am – 5pm (with a one hour unpaid break) or 12pm – 5pm (without break)

Contract type: One year contract (maternity cover)

Holidays: Four weeks plus at least five days at Xmas (plus usual bank holidays)

Salary:  £21,000 to £23,000 pa pro rata

Job summary

Are you passionate about veganism, Viva! and our aims? Do you have experience in admin and customer service? This is a wonderful opportunity for a varied and key role within Viva! We’re looking for someone with excellent customer service skills and experience using databases or inputting data. You will process income, assemble and send supporter packs, help manage the volunteer scheme, take phone calls, deal with general queries, update supporter records and help ensure the smooth running of the administration of Viva!.

Job Description

The role of Administration Officer is to deal efficiently and politely with the general public and supporters (and so increase the number of vegans in the UK and the support of Viva!) and to help ensure the smooth running of the administration of Viva!, particularly income, data processing and supporter packs.

Training given in all areas as necessary.

  • Undertake main reception duties (usually jointly), ie answer the phone (all internal and external calls) with polite and friendly manner; transfer calls with polite and friendly manner both to callers and staff; deal with general enquiries, membership, donations and transfer all other calls. Deal with merchandise orders if requested
  • Open the mail each day (usually jointly) and place in appropriate files, ensuring that correspondence for other staff is passed on promptly
  • Process and input income onto Salesforce on a daily basis (jointly)
  • Assemble and send membership packs and renewal packs promptly
  • Update supporter mailing preferences
  • Take monies to the bank (jointly with Deputy Office Manager)
  • Deal with returned mail if requested
  • Update supporter records with new addresses if requested
  • Process Standing Orders if requested
  • Send Renew Your Support letters/emails to supporters if requested
  • Manage the Volunteer Scheme and work experience students (jointly with Deputy Office Manager)
  • Deal with email enquiries in Office Manager’s absence
  • Welcome visitors with a friendly, positive manner; show them to the relevant part of the building
  • Assist with packing and mailing merchandise when necessary
  • Help ensure all merchandise and book orders are fulfilled within 14 days (notify the Head of Retail or Office Manager immediately if this is not possible)
  • Attend some Viva! events
  • Send replacement cards to supporters if requested
  • Assist with general mailings and do photocopying when necessary
  • Give general administration support in all of Viva!’s work as directed by the Office Manager, Deputy Office Manager and Director
